Count Occurrences

Infoveave Data Automation — Aggregation & Grouping

Type the pattern. Pick the column. Get the count — across your entire dataset, automatically.

Knowing how often a keyword, brand name, or text pattern appears in your data drives better decisions in quality control, market analysis, and compliance reporting. Count Occurrences brings COUNTIF-style logic into your automated workflow — no spreadsheet formula maintenance, no ad-hoc SQL queries, no manual checks.

Input:Tabular (with at least one text column to search)Output:Scalar count (total number of pattern matches found)

What Count Occurrences does

Count how often a keyword, substring, or regex pattern appears across one or more columns in your dataset. Replaces manual COUNTIF logic with an automated, workflow-ready step in Infoveave.

When to use Count Occurrences

  • You want to check how many times a specific brand, keyword, or SKU appears in a product catalog or transaction log
  • You are auditing data quality — for example, counting how many rows contain a known error string or placeholder value
  • You need to track keyword or phrase frequency in customer feedback, comment fields, or description columns
  • You are validating that specific required values or codes appear a minimum number of times in a column

When to avoid it

  • You need the count broken down per row rather than as a total — use Filter on Formula to flag individual matches instead
  • You are aggregating numeric values, not counting text patterns — use Aggregate Data by Column for numeric sum or average
  • You need to count unique distinct values within a group — that is better handled by Aggregate Data by Column with count aggregation

How teams use Count Occurrences

Real scenarios where this transformation saves hours of manual work.

Retail

Brand Mention Frequency in Product Catalog

A retail analytics team counts how many SKUs in a product export mention a specific brand name. Count Occurrences runs the tally automatically on each catalog refresh — feeding directly into brand assortment reporting without manual filtering.

Manufacturing

Defect Code Frequency in Quality Logs

A quality team tracks how many production records in a daily log contain a specific defect code. The workflow counts occurrences of the code at each run and alerts when frequency exceeds threshold — no manual export or formula needed.

Healthcare

Keyword Frequency in Clinical Notes

A healthcare operations team counts how often specific terms appear across patient intake notes. The workflow surfaces frequency trends automatically, supporting compliance reviews without anyone having to scan records manually.

Configuration

Key fields to configure in the Infoveave workflow builder. Full reference available in the documentation.

Column Names

Select one or more columns to search. Count Occurrences scans each selected column for the pattern and tallies matches across all rows — useful when the same term can appear in multiple fields.

Pattern

The text string or regular expression to search for. For simple keyword checks use a plain string. For complex formats like email addresses, postal codes, or structured codes, switch to Regular Expression mode.

Matching Mode

Substring finds the pattern anywhere within a cell value. Complete Value requires the entire cell to match. Regular Expression enables full regex pattern syntax for advanced matching rules.

Match Case

Case-insensitive matching catches all variations — Boat, BOAT, boat — regardless of how they appear in the data. Switch to case-sensitive when casing is meaningful, such as matching product codes.
